Microsoft Teams

Microsoft Teams is centralized space for team working which allows employees and users who don’t work for the company as well to communicate and collaborate on key projects in real time. Also you have a discussion exactly where the task is performing and doesn’t matter whether it’s  a collective creation of the document, conducting meetings or collaboration in other applications and services. MS Teams allows you to make changes in the project, work on shared files and prepare the materials to delivery.

Microsoft teamsIn contrast to Slack (one of the leading corporate communicators), MS Teams offers the integration with company branded services. For example, participants of the one conversation can edit the same Word, Excel, PowerPoint document.

The main Microsoft Teams functions:

Teams chats. Instant communication with colleagues and exchange actual information. Exactly collective chats are the advantage which is the reason to change Skype for business. Teams chats were created because of existing necessity to create and edit documents during the conversation. Just image you’ve got  a project and from now you can create a new channel-chat where you can add this project and participants you need from Active Directory (or just to invite clients/partners who also have O365 account)to work on it. If further you add a new participant to your chat-channel, he will get access to history and quickly get informed of the situation. Such communication method helps to conduct intensive discussions, which didn’t work using email, where the thread of discus quickly gets lost.

Built-in audio and video calls for individual and group meetings. Conference In Office365 allows the participants to connect to MS teams from any devices. What you get:

  • High definition audio and videoconference;
  •  Cloud recording of meetings with transcription and translation;
  •  Intelligent features like blurring the background and others;

Downloading document to optimize collaboration with opportunity  directly communicate  in it to improv teamwork:

  • Edit the documents directly in Teams in real time;
  • Track project progress, chats, notes, files and appointments in the one place;
  • Built-in access to SharePoint, OneNote, power BI, planner etc;
  • Speaking directly to the member of team using “@name”.

Adding the application like YouTube, Planner(by the way here you can schedule appointments for the whole team or just few members ) and others to your bookmarks. Also you can connect external site and use its resources in the group.

Microsoft teams is powerful tool to communicate and collaborate which will be the main player in the market soon. Teams offers variety communication ways. It makes work easier, quicker and as a result more productive. Isn’t it a goal of every business?

  • Let’s take a look MS Teams blocks:

    • App bar. It is a panel where there are next sections located from the top to bottom:
      • Activity – here you will find your notifications;
      • All of your correspondence and contacts list are located in “Chat”.
      • In this section you will see your groups you are participant of.
      • Meetings. It is synchronized with your Outlook account to get your meetings schedule and display it in MS Teams.
      • Files stores all files of your  teams/group in the application.
      • […] This section consists of apps’ links which are connected with groups and channels into Teams.
      • Store – There are apps and services which could be integrate into MS Teams here.
      • Feedback will redirect you on the page of Microsoft Teams where you can leave your comment about the service
    • Teams section. In this section you will see all groups/teams you are member of.
    • Channel. This section exists to organize conversations and tasks of specific item or projects.
    • Join or Create a Team button. You will create your own team or join an existing one with this button’s help.
    • New chat button. To start a new chat use this tool.
    • Channel conversation. Here you can see all of your conversations in selected channel.
    • Compose box. To start a conversation just to type your message here.
    • Send icon. When you are ready to share your chat in the team just click send icon.


    Microsoft Teams Command bar

    If you need quick find a user, file or app in the Teams, you can use a search (command bar). Type a key word in the command bar, and the results of your search will be displayed on the left.


    Also you can enter slash (/) to look at what available commands are and choose one you need.


    Create and manage MS Teams

    To collaborate in Teams, first you need be a member of or to create your own. To create your own you need make following steps:

    1. Choose Teams on the App bar – panel.
    2. Click Join or create a Team.
    3. Then Create a Team card.
    4. Enter the name and description of your team.
    5. To customize your team. Choose the type of your team(private or public).
    6. Private means you are the one who can add the members in this team respectively public type is where every participant can do that.
    7. Then add participants (max number of members around 2500).
    8. Also you can choose the role to each participant (owner or member). You need click on the drop-down arrow next to members.


    If you want to change your team’s settings to click the ellipsis next to the name of your team. There are available settings below:

    • Manage Team. This option launches the member tab where you can add and delete participants or change the roles them.
    • Add a channel. In the Launched dialog box you can enter the name of a channel and description.
    • Add members. In the launched dialog box you can enter the names of people, distribution lists, or mail-enabled security groups to add to your Team.
    • Leave the team. Will appear the confirmation windows and you will need to choose wether you really want to leave the team.
    • Delete the team. You will see the windows with a request to confirm deletion the team.


    Files in MS Teams

    You can find all files uploaded to the Teams channel in the File tab and keep them in the document library — Sharepoint. And you can click on the ellipsis next to the name of file and open it from the Sharepoint.

    1. Choose Teams on the panel App bar.
    2. Create a message in the channel compose box.
    3. Click on the attach icon, it is located below the compose box and choose the source of the attachment you want to share with.
    4. Select a file from the source.
    5. Click the send Sent file will be displayed in the File tab.


    Scheduling meeting in MS Teams

    There is opportunity to create a meeting and add needed information about it. (For example: date; time; location etc.) Then you can invite participants.

    1. Choose Meeting on the App bar panel.
    2. Then the button “schedule a meeting” will appear in the left bottom corner, click on it to create a new meeting.
    3. Enter the title, location, date, time, channel, participants and other things in the new-opened window.
    4. You can check wether the participant is available on this time and date. Choose Schedule assistant above section with details and check.
    5. Click on the schedule meeting. Now your meeting will be assigned and displayed in the Meeting section and in the Outlook as well.
